My 5-Step VIP Onboarding System

Here’s the process I teach (and use!) to create a high-touch, heart-centered client onboarding flow:

1. The Energetic Yes

Before the emails, contracts, and forms — pause.
Take a moment to honor the new relationship.
Breathe into your intention. Speak a quiet blessing. Align your energy.

Clients feel this — even if they never hear the words.

2. The Welcome Email That Wows

Send a warm, timely message that says more than “Thanks for signing up.”
Celebrate their decision. Set expectations. Share your excitement.

Want to take it up a notch? Include a short voice memo or video message. It feels incredibly personal — and builds instant connection.

3. Simple Systems for Payment + Contract

Don’t make them hunt for the next step.
Use tools like Dubsado, HoneyBook, or Paperbell to send a bundled agreement + payment link that’s clean, easy, and mobile-friendly.

4. The Discovery Form with Heart

This is not just admin — it’s your client’s chance to reflect on their why.

Ask questions like:

• What inspired you to say yes?
• What would make this experience feel successful?
• What kind of support feels most nourishing right now?

You get key insight. They get clarity. Everyone wins.

5. The Welcome Kit or Portal

This can be a Notion page, PDF, or email — just keep it beautiful and simple.

Include:

• Session scheduling link
• Communication guidelines (boundaries = love!)
• Bonus resources
• A heartfelt message about what you’re excited to co-create

Want to Go the Extra Mile? Add a Little Magic.

If you’re a spiritually-inclined coach like me, you can sprinkle in some soul:

• Pull an oracle card for them and share the message
• Offer a welcome ritual or intention-setting practice
• Include a playlist or meditation to help them settle into the journey
• Add a personal note that reflects what you already see in them

This is where onboarding becomes transformation.

Your VIP onboarding system doesn’t have to be complicated — it just has to be intentional.
